SouthWestern provides Shared Services and Customer Services for a multinational media and publishing company.
Shared Services involves the provision of Payroll, Accounts Payable, Accounts Receivable, Billing, Cash collection, Banking, General Accounting and Financial Reporting. Within just 18 months of working with SouthWestern the client had achieved:
- A huge reduction in operational costs.
- A significant improvement in Working Capital performance resulting in more cash being available to the business.
- Changed working practices that have supported a cultural change in the organisation.
- This project was implemented in a three-stage process.
Stage 1 was set-up where we built a Shared Service organisation at our facility with primary and back-up telecommunication lines into the client servers. Policies and procedures were agreed with the client and training was developed in partnership with the system providers.
Stage 2 was the commencement of service and process improvement to the client. Many of the processes were initially run similarly to the way they were prior to outsourcing. This was to allow the organisation to accept the change to outsourcing and not in any way disrupt the business. Then, as this “business as usual” phase developed, we analysed and developed new processes and agreed these with the business. These new processes included SouthWestern leading edge technology solutions, e-business initiatives, the latest in market tools, and some simpler but effective best practices. In Stage 2 the client was already benefiting from a substantial reduction in processing costs.
In Stage 3 we implemented these new agreed changes, which resulted in an additional cost benefit to the client. This business transformation has been so successful for the client that the benefits are highlighted in their annual returns.
SouthWestern continues to improve processes all the time with all our clients and we share the benefits with the client as new initiatives reduce the cost of processing.
